Task Management: Best Practice use of Follow-Ups

Task management is a fundamental part of the approval process and therefore an important feature within Visual Approvals. Prioritizing tasks, assigning them to employees, and following up to ensure completion are all critical for successfully managing applications.

To ensure your building certification business stays on top of jobs, applications, approvals and certificates, we've listed some 'best practice' recommendations to follow when using VA follow-ups.

- Allow required tasks to be applied to an application and saved for a future time
- The task follow up can be applied to any employee or shared with a group of employees
- Follow-ups can be applied to an application, a service or a document type
- Task requests are kept within the program and stored with who requested, date and time or request for tracking
- Set automatic follow-ups for some generic processes such as reminders of currency period lapsing
- Employees can easily see all the tasks assigned to them and sort them in meaningful ways (i.e. how many new assessments do I have)
- The follow-ups screen allows for sharing of follow-ups amongst employees, so nothing is missed
- Managers can see all follow-ups to check workflow across the business
- Follow-ups can be re-assigned to allow work to move between employees easily
